Dental Intelligence has evolved beyond simple metrics tracking to become a comprehensive practice management analytics and engagement platform that directly integrates with leading practice management software (Dentrix, Eaglesoft, Open Dental). CJ Carroll walks through concrete examples of how practices using the platform's Morning Huddle feature - which surfaces unscheduled treatment, radiograph histories, and patient reappointment data - can close daily production gaps and improve profitability without increasing volume. The platform's Patient Finder tool enables highly targeted treatment campaigns (demonstrated with dental crown recovery), custom scheduling links tied directly to the practice's block schedule, and real-time synchronization. Beyond analytics, Dental Intelligence Engagement automates forms, consents, and reactivation campaigns to reduce front-desk administrative burden and enable meaningful patient conversations. The episode emphasizes that successful practices focus on leading indicators like hygiene reappointment rates (targeting 85-90%), patient inactivity tracking using ADA guidelines, and identifying why scheduled treatment slips through cracks - not just chasing higher production numbers. Office managers maintain full control over scheduling approvals with a 48-hour hold and review system.
By analyzing production per provider hour and schedule efficiency, Dental Intelligence reveals whether practices are truly maxed out or simply have scheduling gaps - for example, hygiene-heavy schedules with unscheduled doctor treatment sitting in patient charts for 12-18 months. Real-time data shows which patients have unscheduled treatment available for same-day completion, allowing practices to fill open time blocks instead of turning patients away.
The Morning Huddle is a daily dashboard view showing yesterday's metrics (patients seen, new patients, production, goal variance) and today's schedule with unscheduled treatment, radiograph histories, and appointment status. Practices use it to identify early warning signs like patients not being reappointed and to spot same-day treatment opportunities, converting daily deficits into meeting or beating production goals.
Patient Finder builds custom reports that filter large patient populations (e.g., 3,000 patients) down to specific criteria: diagnosed with crowns less than a year ago, with remaining insurance benefits over $500. This narrows the list to 371 highly qualified patients. Dental Intelligence then sends custom scheduling links (tied to block scheduling) directly to these patients, with practices seeing 5% conversion rates generating $15-20k in additional production.
Dental Intelligence Engagement identifies patients inactive for 18+ months using ADA guidelines and enables automated email and text campaigns with custom scheduling links to encourage their return. Most patients don't go inactive because they dislike their dentist, but because they avoid dentistry until pain appears - reactivation messaging prompting preventive care is effective.
Yes - offices have two approval options: either authorize automatic scheduling directly into the practice management system, or use a 48-hour hold where Dental Intelligence blocks availability and notifies the office for review before the appointment is confirmed on the calendar.
Our reviewer’s read on each dimension, with quotes from the episode.
The episode is largely a product demonstration with moderate tactical insights about dental practice efficiency. While CJ covers useful concepts like identifying unscheduled treatment, hygiene reappointment tracking, and same-day treatment capture, most points are relatively straightforward operational best practices rather than novel or non-obvious insights. The speaker frequently restates obvious principles (busy ≠ profitable, focus on people behind numbers) and spends significant time on software feature walkthroughs rather than deeper business strategy.
busy is not profitable
Even though you have goals and you have your goals in place for the entire month, not always does your schedule line up with those goals
The thinking is conventional and heavily framework-driven around standard dental practice metrics and patient management. Concepts like patient reactivation, unscheduled treatment identification, and production analysis are industry-standard approaches. The episode lacks counterintuitive arguments, first-principles thinking, or contrarian insights. It essentially repackages familiar operational metrics into a software interface without challenging underlying assumptions about dental practice economics or patient behavior.
we want to be running a business, not just busyness
Patients that show up on time to their appointments
CJ Carroll is a practitioner-adjacent sales leader (VP/executive at Dental Intelligence) with direct exposure to thousands of dental practices and their data. He has legitimate operational credibility and can speak to scaled practice problems. However, he is primarily a software vendor rather than a dental practice operator who has built/scaled a practice from first principles. The guest is relevant and experienced but represents a vendor perspective rather than an independent operator perspective, which limits caliber somewhat.
over 15,000 practices across the country have decided to partner with us
I just did a practice review with this doctor who's here in Utah
The episode contains numerous specific metrics and real data points from an anonymized practice (HIPAA-filtered). CJ references concrete numbers: $4,000 daily shortfalls, $1,800 goal overages, 21 patients on schedule, $84,000 unscheduled treatment, 371 patients in a crown campaign, 5,280 calls made by hygienists producing $262,000 in treatment and $500K+ in rescheduled work. However, these are all single-practice examples, and broader industry benchmarks or comparative data are largely absent. The specificity is good but limited to illustrative examples rather than systematic evidence.
21 people came into the practice or were on the schedule yesterday. Five new patients, they did 11,500 production. They beat their goal by $1800
they called 5,000, uh, 280 times. They got a hold of, uh, 1,176 patients. 792 of them actually scheduled their hygiene appointment for $262,000 worth of treatment
The host (Amy) asks reasonable follow-up questions and occasionally pushes back gently (e.g., asking about show rates for online scheduling, inquiring about learning curve investment). However, the conversation is largely permissive and lacks sharp, probing questions. Amy rarely challenges claims or ask difficult questions about ROI, implementation friction, or competitive alternatives. The episode reads more as a structured demo with softball follow-ups rather than a rigorous examination. CJ's lengthy monologues are rarely interrupted with critical questions.
You bring up a great point, because a lot of people are hesitant because they're like, hey, I've had an online scheduling tool in the past and nobody showed up
What would you say? Just rough estimate, because I'm asked this quite often is how much time am I going to have to invest in learning this

Here at Brady Group , we help practices build intentional systems - clear goals, strong scheduling, and accountability that sticks. And in our coaching, we don’t just talk about performance - we give practices a scoreboard, resulting in metrics that guide and direct our next steps. But a scoreboard only works if it’s accurate and updated in real time. That’s where Dental Intelligence comes in - simplifying the process of gathering real-time data from your software, not only will it make the process of completing your scoreboard simple, but with their easy-to-use platform, you'll know exactly where the opportunities are to maximize performance every single day. Today’s episode explores what happens when strategy, accountability, and real-time data finally work together - so teams stop reacting at the end of the month and start winning on purpose. That’s why I’m excited to introduce CJ Carroll , Account Executive at Dental Intelligence. Speaker A: All right, welcome. Today I am super excited to introduce our special guest, CJ Carroll from Dental Intelligence. Uh, Dental Intelligence has expanded a ton since we first met them. It's not just a platform to measure your metrics anymore. Um, they connect directly to your practice software and streamline all kinds of things for you, from profitable scheduling to improving patient engagement. Uh, of course, tracking key metrics, but also giving us actionable steps, uh, behind the scenes. What can we do to make every day more effective, more profitable? And so C.J. is going to share with us how Dental Intelligence technology can do just that. So I'm going to turn it over to you, cj, and, uh, I'm excited.
Speaker B: I'm excited, too, Amy. Um, I know we've been talking about this for several months now. You're busy, I'm busy. And we finally found the time to connect, to get this recorded for all the amazing, uh, members of the Brady Group. Um, as you guys watch this, um, my top line thing is, what can you do to help your practice be more efficient? Whether that's. Let me take the next step. Let me talk to C.J. about dental intelligence. Um, whether it's. Let me look at my current systems and let me find some solutions. Because when practices understand that just because they're busy does not mean that they're as productive as they could be. And, um, I like to think of, you know, business and busyness. We don't want to be running busyness. We want to be running a business. And so Dental Intelligence was specifically designed to help, um, eliminate the noise within the practice information and allow teams to be more efficient. And like Amy mentioned, we've added so many services, it's not just about analytics, but it's about saving your team time and getting them the resources they need to take better care of your patients. And when we're taking better care of our patients. Patients, we're producing more as a business. So I'm excited to show you our platforms to go over what we do, um, at Dental Intelligence, and really why so many practices. Over 15,000 practices across the country have decided to partner with us to take their practice to the next step in growing.
Speaker C: So awesome. Yes.
Speaker A: I love what you said, cj. Just to put an exclamation point on that. Busy is not profitable. And we talk about that with our members all the time because sometimes we find comfort in busy. Um, but busy isn't the goal. So thank you for that.
Speaker B: Yeah, I talked to so many practices. Like, we're so busy. We can't. We can't See another patient. And then I got the doctor on the back end saying, hey, I want to grow my practice. And the front desk team's like, hey, we can't see any more patients. We can't grow this practice. Like, we're maxed out. We can't do anything different. But if we can look at the information, the data that dental intelligence provides and make strategic change into production per hour, you know, where is your time best spent? You know, doctors will typically produce three to four times what a hygienist will produce an hour. So although your practice is busy, is it busy with hygiene? Are we just to the brim full of hygiene and the doctor has unscheduled treatment that's been sitting there for 12, 18 months with patients that need the care, and we don't have the resources or the information behind it to how to go after those patients. So. Okay, um, I'm going to share my screen, if you don't mind.
Speaker C: Yeah, please. And
Speaker B: let me know when you see it. Okay.
Speaker C: Ah.
Speaker B: So I have a practice here that, um, I use a lot that works with dental intelligence. They've been working with us for years and years and years, and they're very efficient at using our software. And I'm going to, I'm going to bring to light some things. We have a HIPAA filter turned on here, so it hides all the, um, protected information of the patients. But I, uh, want to bring something to light that even though you have goals, and I want to start off with this. Even though you have goals and you have your goals in place for the entire month, not always does your schedule line up with those goals. And I use this practice as a perfect example of how does dental intelligence provide me the information that I need to grow my practice. And if I look at this schedule analysis, um, right here, I click on this. This is for the month of February, right. A lot of practices could look at this and they could freak out and they could be like, oh, no, we're behind goal by nearly four or five thousand dollars every single day. M. And, and just be like, I don't know what we're going to do. Right? But when you look at the past days, right, they're not behind four or $5,000.
Speaker C: Right.
Speaker B: Today they're behind $4,000. Tomorrow they're behind $4,000. Uh, Thursday, they're behind $5,000. How does dental intelligence provide you the information that you need to make this gap up? And I'm going to show that. I'm going to show how, if we can Eliminate busy work from the team up front, all their data entry from all the patient paperwork, and allow them to look at this. And when patients are walking through the front door having the most meaningful interaction possible to get the practice to grow, that's what we want to focus on, right? Free up that time, give them the time to have more meaningful interactions with patients, because your practice will grow. Now we look, we look at this, and I love looking at this practice when I go to trade shows and conventions and, uh, I'm on the first day of the trade show and I have a practice come by and I say, hey, let me show you morning huddle. For this practice, they're behind goal $4,000. They're like, oh, you know, it's like, I love seeing this because yesterday this practice, same situation, wasn't quite 4,000, but it was $2,500. And they beat their goal by $1,800. How is that possible? It's because of the conversations that we're having with patients and allowing for more same day treatment to be performed, because the teams there are looking at that and having that conversation with the patients. So, um, this is what we call our morning huddle. It breaks down. It's something that a practice should look at every day. Whether they sit down formally, all together, collectively as a team and have a true huddle, or team members show up at different times, but the first thing they do is they go in and they pop in and say, hey, what happened yesterday? What's going on today? What are my conversations going to look like? 21 people came into the practice or, uh, were on the schedule yesterday. Five new patients, they did 11,500 production. They beat their goal by $1800. Ten of the 21 patients are never scheduled to come back to the practice. So we talked about Amy. What are the early warning signs? You know, my production's great, but what's going to lead to decreased production in the future? If we're not reappointing patients, whether that's to hygiene or to some kind of restorative treatment while they're in our practice, we cross our fingers and we hope that they're coming back. So what dental intelligence allows is not just the number, but, but the information, the people behind the number. That's the important part. Numbers are great to know. The people are what matters. So I can see that three of their five new patients are never coming back. Have a conversation. What happened was this patient, Dr. Smith's from down the street and he's gone on vacation. We had to do an emergency. There's no plan or intent for them to come back. That's fine. We know why more people miss their appointment. Who's in charge of making sure that these patients come back? And then the other three came in, were treated, and left without their future visit scheduled. So early warning signs, leading indicators of what's going to be happening to my practice in the future, is making sure, uh, our patients reappoint to come back, um, for their next visit. When we look at the today's view I talked about, if we can eliminate busy work from the front desk team members and from the hygienists and from the assistants, we can allow for better conversations to happen with our patients. There's 48 individuals walking through the front door today. 16,500 in scheduled production. They're behind goal $4,300. How do we make that up? We look at who's coming in to see the Doctors. We have 29 of the 48 patients who have $84,000 in unscheduled treatment. A lot of times practices don't keep their practice management software up to date with, you know, uh, treatment that no longer exists. Go ahead and reject it and get it out of the treatment plan so we can help clean that up day to Also we can look at this, and I click on these 29 individuals. We break this up between hygiene and restorative work. Hygiene shows up in purple. And without our HIPAA filter, the hygienist that they're seeing would show up here, and then the doctors show up in orange. So if I have a patient coming in for a hygiene Visit that has $8,200 in unscheduled treatment, and no one on my team even opens that up to discover what that treatment is. And me as a dentist, as a provider, I don't have, um, a patient right after them. And we're not even proposing that they do same day treatment. We miss an opportunity. So I click on this, um, unscheduled treatment here, and then I can click right here into the treatment planner and I can see exactly when they were diagnosed with what they were diagnosed and if it's on the schedule or not. So I can come back to the fall, maybe we can get this treatment in today because doctor has open share time. And then we add $4,300 to treatment or $130. And so it's little bits of treatment here and there. And if we can't get them scheduled today, at least we're having the conversation on when we can get them back in in the future. So we're not pressuring them to complete treatment, but we're discussing the treatment that was diagnosed by a dental professional as necessary. They need the treatment. We need to provide an avenue for them to be reminded that they need the treatment. So um, if I come back here, um, so that's one way. Another way is looking at the schedule by either provider or by the operatory. So if I look at this schedule for this doctor, we show the frequency of radiographs. A lot of times there is low hanging fruit there that can lead to additional production each day. For example, the 8:30am patient has no history in the practice management software of having completed a pano to better diagnose this patient. Let's propose a pano. We can see what's going on. Same thing with bitewings. Um, and then the fmx, we show the history of the radiographs, easy talking points, and then right next to that, all the unscheduled treatment for that patient as well. So we have it in that tile in the front, but then also in the schedule where we can look and say okay, we need to get them scheduled or I have an hour right after this patient that has $4,600 in scheduled treatment. Let's talk about that treatment and see if we can fill that hour block. Let's say we've exhausted all of our efforts. Our ASAP list. We don't know who we're going to call doctors like I don't want to sit around for an hour. Um, some doctors want to go take a longer lunch. But I can click on this open vacancy and Dental intelligence will use logic based on that doctor's patients. We'll find unscheduled treatment. We'll cross reference that with the highest paying insurances for the reimbursements. The lowest ar bal is people that pay their bills. I don't want to propose treatment to somebody that comes in that doesn't ever pay us. And then people that show up on time to their appointments. And the most important uh, is we look at the day of the week so we don't. There's no setting in there saying hey, what's your favorite day to come to miss Nobody keeps track of that. But based on the history of that patient, how many times do they come in on Tuesday? We're looking at Tuesday schedule today. I want to see people that frequently come in on Tuesdays. So I click on this. Dental intelligence will scan through that and then it will stack rank those patients in a priority List, list of highest priority to lowest priority. So when you've exhausted everything, the ASAP list should come first. Who do we call? Let's start with MH right here and dive into that treatment plan and see if we can fill that or complete that treatment in that hour block. If not, we just move down to the next person. So, um, this is our morning huddle. Probably one of the most utilized tools, um, in dental intelligence to grow a practice and make them more profitable because we're having conversations with people in our office, not chasing them through text messages and emails and phone calls. As far as other leading indicators, I really want to focus on the leading indicators. Um, how do I know my practice is doing well? When do I see, Even though I'm hitting my production numbers, where are we missing? A lot of times right here in this new patient. Let me go to, um, last month, sorry, month view. Go to January is I can ask 10 out of 10 doctors, you know, how many new patients did you get? And probably 8 out of 10 will tell me their new patient number. I asked the same question, the same 10, 10 doctors. How many patients did you lose last month? And they won't know. Right. So if I look at this, their net growth was only negative one, which is really good. So they got 35 new patients. A, uh, react recaptured patient is somebody that hadn't been in the practice in over 18 months, that the practice was successful in getting them to come back through reactivation campaigns. They lost 45 patients. So even though we have a negative one growth, how many patients did we lose simply due to inactivity in the practice, not because of status change? Dental intelligence follows the ADA guideline. If a patient hasn't been seen in the practice in over 18 months, statistically we count them as an inactive patient. That doesn't mean that, um, they're no longer coming, you know, because they, they moved. We don't change the status in the practice management software. It just means we count them as a number of. They're never going to come back. We hope they do. But as of right now, we're going to count them as an inactive patient. So we filter these out. They have a lot of work to do here because 33 of those patients out of the 45 just stop coming. They hit the 18 month mark in January and that's where this practice of those nine are working on reactivating these patients to come back in. Every practice suffers from this. They're busy. You know, we look at busyness. We, you know, we don't want to be just busy. We want to be effective and we want to run a business. So if we're looking at these numbers, then we can go back and reactivate these patients. And the remainder were marked by someone in the practice is inactive. That's totally fine. Also, I'll say what a lot of doctors don't like to say. There are some patients and you don't want to come back. So when they, when they go inactive due to inactivity, it's not like, hey, let's go get that patient to come back. We just kind of let them go. And then we look at these names and we're like, okay, they went inactive due to inactivity. Let's mark them inactive. So then we're not trying to reactivate those patients.
Speaker A: So, um, you mentioned reactivation campaign. Just to pause there for a minute. What. How can dental intelligence support a reactivation campaign? Just for clarity.
Speaker B: Yeah. So reactivation campaigns, um, within our engagement software. So we have dental intelligence analytics, and then we also have dental intelligence engagement. Dental intelligence engagement is specifically designed to eliminate busy work from your front desk team and your admin team through automation, through, um, automated forms, automated consents, uh, treatment planning and reactivation. So we can go in and we can strategically plan reactivation campaigns around those patients that have become come inactive with custom scheduling links to get them back into the practice. So we can send out email blasts, text blasts to get these patients to reconsider coming back to your practice. A lot of times patients don't go inactive because they don't like the dentist. It's because, um, and I'm saying personality wise, a lot of people don't like coming to the dentist, but they just stop coming until they feel pain. But when they're prompted, oh, I haven't been in, in 18 months for cleaning. I better get in there so I don't have to deal with getting cavities filled. So that's a great question, and I'll jump into that briefly, um, towards the end of how we eliminate the busy work so your team can focus on the numbers and the most important thing, the people behind the numbers, to get that treatment scheduled.
Speaker C: Super.
Speaker B: Another huge leading indicator, uh, Amy, is hygiene reappointment. It should be gospel in the practice. If a patient comes in for hygiene, they leave that day with the hygiene visit schedule. We don't want to force them to schedule a hygiene visit a lot of times. Um, I just did a practice review, which is something that I'll offer anyone that watches this, uh, through the Brady Group will Sync with your practice management software. We'll do a data poll. We'll dive into your specific numbers and find the areas of opportunity, um, at no cost to you. But I did that with this doctor, um, who's here in Utah and his, um, head hygienist, um, she manages the hygiene department, um, was under the impression that their hygiene reappointment was a lot higher than it was. And interestingly enough, she used to work for Dental Intelligence. And she's like, oh, I was pulling the numbers wrong and I didn't get the right report. But I completely trust Dental Intelligence. This is something that I'm going to improve on, Doctor. And when we have those numbers, those are the conversations and the trainings that we can provide our team. So, um, 90% is a great goal. You for sure want to be above 80, 85% of hygiene reappointment and then not only do we don't force them to do it, but of these 25 that didn't reappoint for hygiene, whose responsibility in the practice is, uh, to go call on those. A lot of times when I talk to doctors, they don't put that in the hands of the hygienist. When the hygienist doesn't have something to do, we don't always just kick that to the front desk and make them do it. Hey, you don't have a hygiene patient. Go call your patients that aren't scheduled for the future visit. Show them that you care and get them back onto the schedule and then we can create those lists.
Speaker C: Yeah.
Speaker B: Yep.
Speaker A: Yeah, that's because they're going to have the most impact. I mean they, they see them clinically, they've got the relationship with them many times. Um, yeah, it just, it just carries more weight. Not to take anything away from the front, but, uh, correct. I'm glad you said that because that's.
Speaker B: You look at the FaceTime. Yeah, you look at the FaceTime, who's going to be most effective getting treatment scheduled. Right, doctor? Right. Then probably a treatment coordinator that understands. But it's the doctor that has that face to face time. Same thing with the hygienist. You're right. I see the, the front desk team for 45, maybe 60 seconds. When I m met the dentist, I don't really know who they are, but I have a 45 minute conversation with my hygienist, ask me how I'm doing, you know, so you're exactly right. You will see a higher success rate in reappointments. Okay, um, last thing that I want to show, um, in dental intelligence analytics, um, this is probably the biggest moneymaker for a practice you look at, hey, I want to see more production. I want to see, um, us hit higher numbers. A lot of times, treatment slipping through the cracks that goes unnoticed. We help find that and then communicate with the patients and get them on the schedule. So we have one of my favorite tools, which is called patient Finder. Any practice that signs up for dental intelligence in the first 12 months, you're going to make your money back. If you utilize the software, if you buy it and it just sits there, you're going to lose money. But if you use this one tool, forget everything else I said, if you use this one tool, you'll pay for this for not only the first year, but probably years to come. So we can build custom reports to target specific treatment and then we can communicate through our engagement software to these patients to get them scheduled. What I love to do is a, uh, report that's most every doctor's favorite treatment. Dental crown. I come into dental Intelligence. This practice has 3,000 patients who have been in the practice in the last year. I come and I say, go show me all those that were diagnosed less than a year ago with a dental crown. Specifically, this reduces my number from 3,000 patients to 500. Then I take it a step further. I say, go, show me all those. And if you're in network, this is a really big one. If you're not, not so big, go show me all those with primary insurance benefits remaining that exceed 500 that will help cover some of that cost. Then I have 371. We might have to, we might have to keep this on the down low doctors, but uh, I don't want to offend any insurance companies, but if there's one that you don't like working with, you can go in here and you can say, hey, I'm going to eliminate this one and then target all the patients with the other ones or they have a really low reimbursement rate. Let's go after the ones that have the higher reimbursement rate first and then go down the list because we want to get paid for what we do. Dental intelligence can help you refine that list and then easily communicate with them. So we have this refined list of 371 patients. A unique tool to dental intelligence is having a real time online scheduling system that syncs directly with, you know, Dentrix, Eaglesoft and open dental in real time to show the vacancies in the schedule. We can tie that to A specific procedure that only the patients that receive this custom campaign will have a link to schedule their dental crown. We build out the time, the providers, the operatories, everything. You can even tie it to your block scheduling. If you have a specific time of the day that you love doing dental crowns and you want to pack those full, we can create a block in your practice management software and tie right to that block. We send this out to 371 patients. There's no way 371 patients are going to schedule. Even if you got 5% of these patients to schedule, that's 15 to $20,000 in additional production from 30, 35 seconds worth of work.
Speaker A: Yeah.
Speaker B: Get that treatment in front of them. Yep, absolutely. Um, if I can rewind it back for any office managers that are watching this and they say, uh, you know, I'm freaking out. I don't want Dental Intelligence to have control over my schedule. You have full control. With that scheduling software, there's two options. You create that custom scheduling link for a crown that meets all of your criteria. But there's two ways that it can be scheduled. One is you give us authorization to push it right into your practice management software. Or two, we can see the availability when a patient schedules for a specific day and time. In our software, we block it off for 48 hours. So two people can't book that same time. But on the flip side of things, it lets them know that you're going to approve it before it makes it to the calendar. Hey, our team's reviewing this.
Speaker C: And.
Speaker B: And then you're notified, you review it, you accept it, and then it pushes it to the calendar. So we believe in giving you full control over your schedule. We're not trying to hijack it, but if we can get more patients to see your availability, to see when it works best for them and to book that time, you're going to get a higher conversion rate for sure.
Speaker C: So I've got a question on that.
Speaker A: C.J.
Speaker B: m, please.
Speaker C: We.
Speaker A: What are you. And I don't know if you have any data on this or any feedback, um, or if there's a way it's even tracked through Dental Intelligence. But when patients do schedule, um, virtual or through that type of a link, they're not talking to the office, um, any data or feedback on, uh, the show rate. Is it any different? Is it, uh.
Speaker B: Oh, you bring up a great point, because a lot of people are hesitant because they're like, hey, I've had an online scheduling tool in the past and nobody showed up. Dental Intelligence because we handle everything start to finish. We do have payment processing as well. So if that is a concern of yours, you can require a reservation deposit. And that reservation deposit is completely customized based on the procedure being scheduled. So it could be $5 for, you know, cleaning exam and X ray. It could be $20. It could be $100 for some kind of, um, consultation, you know, invisalign or full mouth reconstruction. It's like, I don't want someone blocking off an hour of my time that isn't financially sound to pay for full mouth, you know, rehabilitation. So that's a great way that we do that. Um, but the success rate on showing up for appointments scheduled through us, because we have the forms that automatically go out, the consent form. So if they book a crown, the consent for crown is going to go out automatically for them to fill out and sign it. And we start seeing those things happening before the appointment. This, the show rate is a lot higher.
Speaker C: Okay, Excellent. All right.
Speaker A: That was a new thing. Didn't know about that.
Speaker C: Yes.
Speaker B: Yeah. So, uh, Amy led with, we're much more than analytics. I know. I spent a lot of time on our analytics because it really is the heartbeat of a practice knowing what's going on. We're keeping the pulse on the practice, but a lot of times we don't have time because we're so busy. Dental Intelligence engagement was designed to save your front desk team time. I'm going to go over three things really quick on how it does that. Forms automation. So our forms, you can customize to your specifications as far as the questions you want to have asked in the order you want them asked. Like I mentioned earlier, we sync in real time with Dentrix, Ecosoft and open dental. Our forms will automatically go out when a patient schedules an appointment. For new patients, you designate the forms that are required. They go out in a new patient packet. Patient fills it out, they sign it, they submit it. All that information is instantly transferred back into the practice management software. Software fills out the patient chart. PDF copy goes in the appropriate storage field. In the practice management software, if a patient doesn't fill it out before Dental Intelligence ever sends out a reminder, we look and this goes to show rate as well. We look and we say, okay, this patient has an appointment next week. Are they current on all their paperwork? And that includes existing patients. So if you require health history forms to be filled out every year and that patient hasn't filled one out, we're automatically going to attach one to that reminder. Hey, you, uh, have an appointment with us next Tuesday at 2:00pm, by the way, stop, fill out your paperwork. So we're going to see much higher completed paperwork. The forms are already pushed into the practice management software. Patient shows up to their appointment, they don't have to fill out forms. They can enjoy, um, waiting in, in the waiting room before they're called back. If they forget and ignore all those messages and they haven't filled out the forms, they can easily complete them on their cell phone, um, in the waiting room, or a tablet of some sort can be provided. They fill it out there, sign it, submit it, goes right in before, um, the patient gets back to the operatory. Now, another thing, consent forms. Right? Chasing down consents or feeling like you're rushing your patient to complete their consent. Chair side, you can always do that. But you can also kick off automation for procedure code, specifically, um, consent forms. So someone's coming in for a crown and they're required to fill out a consent for that crown based on that procedure code. Our software, because it's enrolled in auto confirmation or, um, consent, um, forms to go out, it'll automatically send that out. They will fill that out, submit it, and it goes right into the practice management software. So that's two, three. Is being able to text back and forth efficiently with your patients, communicating. What I love about this is we do ours, some would say backwards. And I'm actually going to switch over to this one real quick because I have more, uh, chat back and forth. So as you can see here, there's a lot of conversations assigned to different team members. We can assign conversations to team members. That way we know if I message in and a message shows up here, Alex is going to be the one that handles that because I've been dealing with Alex. And then you'll notice down here, Nate Decker has two unread messages. It doesn't matter how many times I click on Nate's name, any team member could be clicking on it. Ours remain unread until someone marks that they've read it. Most softwares are the reverse. When I click on this, the red bubble goes away. Then they have to go back and they have to mark it as unread, which a lot of people don't do. We got tons of feedback from our, um, customers saying, hey, can we just leave these unread? We do it that way. Practices love it. We have quick fill messages. If you're sending the same message to multiple patients on, um, any given frequency, yes, we can do group messaging. But if it's like, hey, I send this Message out five times a week. I don't want to have to type it out every time. You can create a template, it'll automatically pull in the patient's preferred name. Right. And the information with these placeholders. So you don't have to type out the message at all. You just go choose which one you want to submit. Boom, goes over, I click send and then off goes the message. Okay. Then, um, send and receive images.
Speaker C: Whoops.
Speaker B: You can send and receive images through dental intelligence Engagement. So real time online scheduling forms, consents, treatment plan, um, real time insurance verification, uh, unlimited claims, submitting claims, um, marketing, email campaigns, everything like that. So we have the tools necessary for um. See I got a response back tonight. Can't today.
Speaker C: Right.
Speaker B: So, um, we want to make sure that this is efficient, as efficient as possible for the front desk team. Then they can spend time in the analytics.
Speaker C: Absolutely. No, that's fantastic.
Speaker A: Um, one of the. And I want to just kind of, before I forget this one thing, cj, as far as the analytics that um, you know, going back to your dashboard and um, the, the metrics, you know, just the daily metrics. One of the things that you and I talked about that for a while, um, dental intelligence didn't have the capability for or whatever is, is a metric we look at first thing and that is dollars per patient visit for the doctor. And uh, you had shared where we can now do that and add it to the dashboard. Which is great because uh, I know some of our folks that was, you know, kind of a hold up for them, but that's not an issue anymore. So we can now look at that for both doctor and hygiene, uh, all providers, which is fantastic.
Speaker B: Yeah. And it pulls it automatically. There's nothing else that you guys need to do. You keep your day to day operating the same. And we just pull that based on what was completed and which provider completed it.
Speaker C: That's super.
Speaker A: Love it.
Speaker B: So there, there's a lot more that we didn't go into. I mean dental intelligence, you look at it as a whole, can be very overwhelming. And I never want to overwhelm anybody. So we want to find out what your goals are, what you want to focus on. And we're going to show you how to use dental intelligence to accomplish that. And then as you become a master at that improvement, then it's what can I do next? And then you take, you know like we. The age old saying, you can't eat an elephant in one bite. So it's just one bite at a time. How do I become as Efficient as possible in this and grow my practice.
Speaker A: So what do you. C.J. again, uh, there's, you know, countless things that dental intelligence can do, but based on what you shared today, you know, the, the dashboard, the morning huddled, um, you know, information, the, the basic metrics, and then, you know, utilizing the, the resources to fill the schedule. What would you say? Just rough estimate, because I'm asked this quite often is how much time am I going to have to, to invest in learning this before we can utilize it? What, what do you see roughly as an estimate and kind of learning curve?
Speaker B: Yeah, so it really depends on how much improvement needs to be made in the practice. If it's small things, um, signing up for dental intelligence, you go through our onboarding process and let me describe what that looks like for everybody. We do an install, um, to the practice management software and then you'll have an appointment to do a setup, setting up all the systems in place, you know, your reminder frequencies, um, setting up your schedule in analytics, setting up your goals and getting everything taken care of that way. And then, um, you have learning sessions. And so as a part of our partnership with the Brady Group, we provide four personalized learning sessions with the team to make sure that the team's efficient. Those are one hour learning sessions each. Not every practice needs all four of them. Normally I think they're like $250 each. Um, you'll get four of those included. You don't have to use them all the upfront, there's no expiration. As long as you're a customer, you can use those. So our experts can dive in with your team to make sure they're as efficient as possible. But upfront time investment, learning the software, you're probably five or six hours, you know, over the course of two weeks, you know, different times. Not everybody can make it. All trainings are recorded, so team members that couldn't make it can watch those. Um, and depending on the size, you know, we start working with groups three and larger. So if you have, you know, multiple locations, um, when you get to the three and larger, you're assigned a specific person that's dedicated to you that will do additional reviews because we want to make sure that your organization is aligned and staying unified on the direction that the owners want to go.
Speaker C: Perfect.
Speaker A: And you would, you know, mentioning this training, it sounds like, which I, you know, agree 100% with, that everybody on the team ought to be able to utilize this.
Speaker B: Yeah, I can't think of anybody unless, unless you have a cleaner that comes in Once a week, they're probably not going to be utilizing this, but everybody in the practice, from the assistants, the front desk team, you know, if you have somebody that's just responsible for answering phones, they can take it a step further. And when the phone's not ringing, they can make proactive outp, um, outbound phone calls.
Speaker C: Yeah, absolutely.
Speaker A: Because what we see, and you probably see this too, is many times it falls on just the front office and, you know, nobody else knows how to use it. And it just, um, it's great. But if not everyone on the team can utilize it, uh, we're not really maximizing the opportunity.
Speaker B: So I want to show you one thing, bringing up the back end as well. Um, these are called, uh, follow up tasks. And so what we do is we create according to different criteria, we can create follow up tasks. So if a patient goes unscheduled for hygiene and it will automatically create a task, let's say, for your hygienist, if you want them to. So when they log into Dental Intelligence, they know who they're going to be calling. And then we keep track of all of those numbers. So let's go look at last year. And this is a practice that has the hygienist calling. Um, it's going to take just a second for this load because it's going to aggregate all the data from 2025. But as a practice owner, you can see all of the efforts that your team is making and so that you can give praise where praise is due, you can offer training for where improvement is needed. But last year in 2025, they called 5,000, uh, 280 times. They got a hold of, uh, 1,176 patients. 792 of them actually scheduled their hygiene appointment for $262,000 worth of treatment. Then we come down to the real money maker is anybody that doesn't accept treatment chair side. A lot of times it gets lost in the shuffle. They proactively reach out. They booked over a half a million dollars back onto the calendar from these efforts. And you can see which team members made all the phone calls and who produced the most.
Speaker C: So, uh, that's great.
Speaker A: I was just talking to a practice this morning. They said, well, we have no system to follow up. That I'm like, what?
Speaker B: This is it. So if you, if you're that practice watching this, you definitely want to get with me.
Speaker C: So. Yeah, uh, that's fantastic. Super.
Speaker A: All right, so you mentioned the, um, I'm intrigued just by the, the practice review. You mentioned that you would offer that to folks? Um, so what, what's next in terms of, you know, somebody, one of our folks watching this and thinks, wow, you know, I, I really want, how do they go about starting that process? Yeah.
Speaker B: So I'm going to leave this up here. Um, I will also, um, send out, uh, the, the actual link to it. Um, I'm going to double check this while we're on here live just to make sure that it is pulling up because I would hate for it to broadcast and then somebody not be able to. So this is our landing page in conjunction with the Brady Group. Anybody that fills this out, you have the ability to schedule a demo of the software with me. You do not have to do the snapshot where we do a data sync. I can just review the systems and processes that we go through if you want. The snapshot is complimentary. You do not have to commit to any timeframe, um, of working with us. I'll review your data with you, help you see where you can make improvements and then also go in depth because most people watching this already have some form of software in place for the texting and reminders. Talk about how efficiently ours works, um, together with the analytics to make your practices profitable as possible. And oftentimes it makes more sense to consolidate all of that into one service. Um, as far as promotions, the uh, Brady Group gets the best price that Dental Intelligence offers. So just know that depending on what services you want to add, there's like no back and forth with me. They get the lowest price. We normally have a Setup fee of $1500 to train your teams. That is completely waived if you decide to work, um, move forward with us. And then specifically for the month of February, I know that this, um, goes out on Monday the 16th. Anybody that does a demo, does a sync, decides to move forward in the month of February. Dental Intelligence is willing to give you your first two months of the software subscription for free.
Speaker C: Okay, awesome.
Speaker A: Thank you for that.
Speaker C: That's, that's fantastic.
Speaker A: What is, and then after that point, what is the monthly subscription?
Speaker B: So, so it depends. So it's paid monthly. We do a one year agreement. Um, the pricing ranges from $449 to $849. So usually the pricing, the list price on those is 499 to $1200. So there is a substantial savings. It just depends on when I talk with you. I'm not going to try to talk you into something, but what works best for you. And then you obviously get the lowest price things that Dental Intelligence can offer.
Speaker A: And I, you know, the thing, and I know you see this as well, but there are so many platforms out there, and I find oftentimes that, um, of the platforms people have, they're not fully utilizing them, and there's duplication. And so, uh, you know, I.
Speaker B: What you.
Speaker A: You mentioned is to streamline it all, have it all under one. One umbrella. Um, like, dental intelligence. Makes perfect sense. And so, um, you know, being able to identify where are we, where are we duplicating efforts here and what can we get rid of and streamline.
Speaker C: Save money.
Speaker B: Yeah.
Speaker C: Yep. Okay. Perfect.
Speaker B: Awesome.
Speaker A: All right, well, uh, let me stop sharing here.
Speaker C: Yeah.
Speaker B: Hopefully everyone, if not, rewind and pause, and then you can scan that QR code. So that's the benefit of having something recorded.
Speaker A: Uh, we'll include the, uh, the link in the show notes as well. And so, um, that will be, uh, you know, highly publicized so that people don't miss it. But, um, thank you, C.G. i appreciate your time. It's absolutely awesome. It's up to date, even for folks that we have that, uh, are using dental intelligence. I'm not sure they're fully using everything, but. Correct. And how would that work? C.J. just real quickly, if you. We do have a current mutual client, uh, you know, practice that, um, sees this or realizes, well, we're not fully utilizing all of this. What can they do?
Speaker B: Schedule a time with me. Uh, you know, it's. It's not just new sales for me. It's making sure all of your customers, all of your partners are successful. Um, schedule time. You already have the data. I'll go over with you. We'll help strategize. If you're missing part of the product you would like to add on, we'll discuss that at that time.
Speaker A: Awesome. Thank you so much. I think it's excellent if you guys, uh, are not utilizing, um, dental intelligence. It's worth looking into, and, uh, it's really going to support and be a wonderful adjunct to what, uh, what we do. Even your scoreboard. It makes it easier to find and locate numbers. Plug into your scoreboard. There are so many benefits to doing that. So. Thank you, C.J.
Speaker B: absolutely. Thank you.
