Simone Vincenzi, a webinar and conversion expert who has run over 2,000 presentations and trained 1,000+ businesses, breaks down the exact order in which to build webinars for maximum conversion. The core insight is that most entrepreneurs fail at webinars because they skip steps or build in the wrong sequence. The six-step framework begins with defining the offer - what you're actually selling - since the webinar's entire purpose is driving immediate, simple yes decisions. Next comes rapid testing of the presentation within 30 days rather than months of over-engineering, capturing momentum and staying relevant. Once you have a working presentation, you build the webinar funnel around it using marketing sequences, reminder emails, and follow-up sequences. Step four involves delivering the same webinar repeatedly and refining based on feedback - Vincenzi hasn't had a non-converting webinar in nearly three years despite running 100 yearly. Step five leverages partnerships with other audiences rather than constantly creating new webinars, using his own 54-partner network as proof. Only after achieving live conversion consistency should you automate, the final step. The approach prioritizes leverage, accountability, and the Webinar Conversion Accelerator program mentioned throughout.

Key takeaways

  • →Start with the offer first - the entire webinar presentation is designed to sell a specific outcome, so define what you're selling before building slides or content.
  • →Launch your first webinar within 30 days of conception to capture momentum and test for real feedback rather than perfectionism, since your first presentation is your worst.
  • →Deliver the same webinar repeatedly and refine one element at a time rather than constantly recreating new webinars, so you can isolate what actually converts.
  • →Build a webinar funnel with three critical sequences: marketing emails to drive registration, reminder sequences to boost attendance, and follow-up sequences to increase post-webinar sales.
  • →Find partnerships with audiences that already exist rather than building your own audience from scratch - Vincenzi's 54 partners eliminate lead generation concerns and create leverage.

Questions this episode answers

What should you create first when starting a webinar?

Start with the offer - decide exactly what you want to sell or what action you want viewers to take (like scheduling a call) - before building the presentation, because the entire webinar is designed to move people toward that specific outcome.

How long should you spend perfecting a webinar presentation before launching?

Create and launch within 30 days of your idea to capture momentum; your first webinar is your worst, so get feedback early instead of over-engineering it for months.

How often should you change or update your webinar?

Keep delivering the same webinar repeatedly and refine individual elements each time rather than creating new webinars constantly, because consistency allows you to identify what converts and optimization requires multiple iterations.

When is the right time to automate a webinar?

Only automate after your live webinar converts consistently - typically after 3-4 live runs - because automation amplifies what already works; automating a non-converting webinar just scales failure.

How do you solve registration problems if you don't have a large audience?

Build partnerships with existing audiences and communities rather than growing your own audience from scratch; Vincenzi has 54 partners that bring registrations, eliminating the need for constant prospecting.

What our scoring noted

Our reviewer’s read on each dimension, with quotes from the episode.

Insight Density

7 / 20

The episode offers a logical, step-by-step framework for webinar creation but the ideas are surface-level and largely obvious to any operator who has spent time in online marketing. The most useful non-obvious point - don't automate before you convert live - is buried in a sea of generic advice and filler repetition.

if you automate it too soon and the webinar doesn't convert live, it's not going to convert automated
Instead of creating a lot of webinars, let's find lots of people watching the same webinar

Originality

5 / 20

Nearly every point maps directly to widely-circulated online marketing doctrine: start with the end in mind, test fast, build sequences, automate last. The partnership-as-lead-source emphasis is mildly differentiating but underdeveloped; no genuine contrarian or first-principles thinking is offered.

Guest Caliber

6 / 20

This is a solo promotional monologue by the host, who cites real practitioner credentials (2,000+ presentations, 100 webinars/year) but the episode is transparently a funnel for his accelerator program rather than a substantive knowledge-sharing conversation. There is no external guest at all.

I run over 2,000 presentations
I do about 100 webinars a year

Specificity & Evidence

8 / 20

There are a handful of real numbers scattered through the episode - 54 partners, a $70K client result, a 4.5-year track record, a 30-day launch target - but the vast majority of advice is stated as assertion without supporting data, case studies, or named companies beyond one anonymised client.

she partnered up with a magazine that had access to her ideal audience. They made $70,000 during her first webinar that she did. Split of $35,000 each.
we have built over the years about 54 partners

Conversational Craft

2 / 20

There is no conversation here whatsoever - no guest, no interviewer questions, no follow-ups, no productive tension. The episode is a scripted solo monologue delivered straight to camera, functioning entirely as marketing content for the host's paid program.

So I'd love to know what questions do you have about these different stages?
together we grow exponentially. Ciao.

if you want to know how to get started with the webinar or exactly what to do and in what order when you are creating a webinar then this video is for you because i'm going to walk you through these 1, 2, 3, 4, 5, 6 elements and 6 steps on creating successful webinars from start to finish. So you're definitely in for a treat. If you don't know me, my name is Simone Vincenzi. I'm a webinar and conversion expert.

I run over 2,000 presentations. So I learned a thing or two, trained over 1,000 different businesses on how to create webinars to sell. And what I want to give you is the best way to get started with webinars so you don't have to stress or you don't spend hours actually building the wrong thing because the order in which you put a different ingredient together makes a big difference and that's what we are going to do today. So let's get started and I want to start with the most important piece of webinar in particular if you're using webinars to get clients and to sell, which is knowing the offer, knowing what to sell, starting with the end in mind.

That's actually the most important thing. And the reason why is because your presentation in a webinar is designed to sell a specific offer. If you don't know what offer you want to sell, and when I say sell, by the way, I don't mean only direct selling, because if you're working with organization, with corporates, bigger businesses or you don't want to sell something directly, you can actually invite someone to a call, but it's still selling. It's still directing someone, the viewer, to somewhere.

And when you're starting out, the best thing to do when you're creating a webinar, the first thing is actually starting with the end in mind. What do I want to sell? What do I want to offer? Because only then I can go down to step two, because only when I'm clear about what I'm selling, what I'm offering, I can then think about my presentation.

And the goal of the offer, going back a moment, the goal of the offer is to generate an immediate yes. Now think about this. You are attending a webinar. Just put yourself in the moment for a moment in the viewer seat.

You're attending a webinar and you're watching something. The moment where you are the most interested in anything is actually when you are attending or watching the webinar. The moment the webinar finishes, you don't have my attention anymore. So when you're selling something from a webinar, it needs to be something simple, something clear, something that is an easy yes.

In fact, if you are selling something which is more complex, it's better to just invite someone to a call instead of helping getting them to make a difficult or complex decision that have maybe multiple factors there and then. So the goal is, can someone buy my offer by seeing it and say, yes, I want it, I buy it. If the answer is no, invite someone to a call, but still give them one thing to do. OK, so that's the most important thing on the offer.

Then we're moving to the second step. Once you're clear about the offer and how you're going to sell the offer, then we are looking at creating the presentation. Now, the presentation needs to be tested quickly. The goal is to actually get it out there.

as fast as possible and test it for feedback With our clients we get them to create their offer and their presentation and launch it in 30 days Why is that Because the amount of people that overthink the creation of a webinar is insane Some people want to do it for two months, six months, eight months. The problem with that is that the moment where you have the idea is the moment where you're carrying the momentum. And also building a presentation, if you build it today and run the webinar eight months down the line, trust me, that presentation is going to be different.

Why? Because you are different. You'll be interested in different things. So what you're going to use today is not probably going to be relevant six months down the line or eight months down the line.

And so that's why you wanted to get out there and test it for feedback as fast as possible. And also there is one of my first speaker trainer, one thing that they told me before was that your first is your worst. Your first is your worst. So I want to get it out of the way as fast as possible.

I'm creating a presentation. I just want to test it quickly for feedback. I don't need to have a big slide deck. I don't need to have a very polished presentation.

I want to test it out, receive feedback and see what works, what doesn't. Because the first time I deliver that presentation, actually, I'm more interested in what doesn't work than what works. Because then I know what to fix. and if I know what to fix and what to improve, then I can push it for the second time.

And so get it out there as fast as possible. So that's step number two. Once you've done your test presentation, my recommendation is to do it within 30 days from the moment of the idea of running a webinar is then to build the webinar funnel around. One of the reasons why actually people don't and companies don't build great webinar processes is because it is a lot of work, right?

You need to create the offer, then you need to create a presentation, then create the slides, then create all the email, the marketing material, the sales material, getting people to show up, getting the technology right is a lot. I get it. However, if you do things step by step, what's going to happen is going to become more manageable. So you build the offer, then you test the presentation.

So now you have the offer and presentation built. Then you can build a webinar funnel. And the goal here is to increase your registration and sales. So when we build a webinar funnel, few things are important.

Number one is your marketing sequences. So the marketing emails or social media messages or partner sequences you're going to use. The reminder sequences to get actually people to show up on the dumb webinar that they have registered for. And then the follow-up sequences to get people to buy after the webinar.

So these are the three sequences that are important. And then on that, we build also the tech stack. What kind of tech do we need? And that's where we are focusing on step number three, which is building your webinar funnel.

Now we have the webinar funnel built. We are moving to step number four, which is deliver and refine, deliver and refine, deliver and refine, deliver and refine to create consistent conversion. The goal in stage four is to basically create a webinar that converts every single time you run it. I've been running my core webinar for the past four and a half years.

And out of these four and a half years, the past two and a half to almost going to three years has not been one time that I've not made at least one sale from every single webinar I do. And consider that I do about 100 webinars a year. So I do a lot of webinars, right? And there's not been one time in the past two and a half to three years that I've not converted once.

But why was that? because when I moved to stage four, which is deliver and refine, I kept the same presentation and the same webinar. I kept delivering over and over and over again. One of the biggest mistakes that people make or companies make is that they change webinars all the time If you change webinars all the time if every time you need to create a new offer a new presentation a new funnel guess what One, it's too much work and two, you will never create something that works in a consistent way.

Why? Because you will never know what to optimize and optimization takes time. After you have delivered the first webinar the second time, once you have the webinar funnel, you want to optimize every single piece. You want to optimize part of the presentation, part of the marketing sequences, part of the reminders, adding maybe something like text messages, interaction, playing with your follow-up, deciding what different stories you're going to tell in your presentation.

So there is still so much work that needs to be done after you were your first part that every single time you run a webinar, you will learn. You will learn something that works. You will listen to the comments that people make in the chat, to the parts where they are stuck to when they're asking questions and they're going to give you ideas to add to your webinar. And that's when the goal here on stage four is to get conversions every single time.

Now, at this point, we are layering stage four with stage five. They happen almost at the same time because one way to deliver and refine is also to take your presentation on tour. Once you deliver your webinar three or four times, you will know what works, what doesn't. You've made some significant improvements.

Now you're ready to find partnerships and you want to always find new audiences to watch your webinar. Instead of creating a lot of webinars, let's find lots of people watching the same webinar. It's way easier. Why?

Because you're delivering and refining, you're optimizing at the same time, and you're asking new audience and expanding audiences. Probably, unless you have a great audience growth machine, you're amazing at that. If you are, fantastic is going to work even better but let's say you're not let's say you're not great at building audiences and what's going to happen is that after you run your first two to three webinars you will struggle to get registrations so we want to find other places where your audience already exists now we have built over the years about 54 partners that bring us people to our webinar i'm never running out of leads for our training and courses because my focus once i have the offer once I have the presentation, once I have the funnel, switches completely to building collaborations and partnerships.

So now what I want to find is just new audiences that can speak in front of. How can I find collaborations? So instead of looking for new clients or finding individual registrations, I'm looking at who can I partner up with that I can bring 5, 10, 20, 100, 500 registrations to my webinar. Way more leverage activity.

You will find that is going to be great, great, great, great, great. Great use of your time and very profitable. I was working with a client with this and she partnered up with a magazine that had access to her ideal audience. They made $70,000 during her first webinar that she did.

Split of $35,000 each. That's a good 90 minutes well spent of work, right? Then at this point, only at this point, We can move to stage number six, which is automating your webinar, where you can make sales on autopilot. I've recorded a video on the four different webinar strategies.

When I break down also the automated webinar strategy, so you can find them in the description or maybe somewhere will appear on this video, but definitely in the description. We're going to put the link of the video where you can see the four different webinar models that you can use. and one of them is automated webinars to use them alongside live webinars where you can have clients on autopilot people that are watching the presentation over and over again Now the downside of automated webinars is that not many people will watch it through compared to a live webinar, but you don't need to be there.

Now, having an automated webinar is a dream. A lot of people want to have the automated webinar so that you can have clients while you sleep. I get it. Fantastic.

Love it. The problem with that is that if you automate it too soon and the webinar doesn't convert live, it's not going to convert automated. If your webinar is bad and you automate it, it's still going to be a bad automated webinar, right? If your webinar doesn't convert live, it's not going to convert because you automate it.

Automation is not the solution. Automation works when you have something that converts incredibly well live. If you have done the live, you have delivered and refined. So you've built the offer, you deliver the presentation, you build the funnel, you deliver and refined, you're taking your presentation on tour.

Then at this point, let's automate it. So then we can make the most of all the work that you have done. So this is how you can get started with webinars. You're following the steps.

There is no reason why your webinars will not work. Because maybe your first webinar is not going to convert. Your second webinar might not convert by your third, your fourth, your fifth, your sixth, your seventh, your eighth. You're up to a point where conversions happens every single time.

And that's exactly what you want to do. So I'd love to know what questions do you have about these different stages? Let me know. I'm more than happy to record new videos on how to get clients with webinars.

My recommendation, if you're starting out or even if you're not starting out and you're building a new webinar, is to start from the offer and the presentation. this is always a starting point that's what we do in our accelerator where we get you to create your offer and presentation and launch a webinar in exactly 30 days and we mentor you we give you accountability we'll give you the resources all our ai tool to get it done and also we rehearse it as well to make sure that when you're going live your webinar is top so if you are curious check the link below.
